Build a clean catalog and keep stock understandable

Create the things you sell, the materials you make them from, and the services you offer, then use inventory tools to see what is available, what needs attention, and how stock changed.

Choose a catalog area

Products, services, categories and inventory share one workspace but answer different questions.

Product, raw material or made product?

When you add a stocked item you choose one of three types. The type decides how stock and cost work.

Sold as it is

Product

Something you buy or stock, then sell as it is: a chair, a phone case, a bottle of juice. It has its own stock, cost and selling price.

Used to make things

Raw material

Stock you use up to make other items: flour, milk, fabric, packaging. It is counted in a unit such as kg or ml and is not sold on its own.

Made from raw materials

Made product

Something you make and sell: a cake, a burger, a bouquet. It has no stock of its own; how many you can make is worked out from its raw materials.
  • If you sell the item exactly as you received it, choose Product.
  • If you never sell it on its own and only use it to make something, choose Raw material.
  • If you sell it but make it from other stock, choose Made product and list its raw materials.
  • A bakery might stock flour and sugar as raw materials and sell a loaf of bread as a made product, while bottled drinks are ordinary products.

Only offered for some business types

Raw materials and made products appear for businesses that make what they sell, such as restaurants, cafés and bakeries. If you don't see them, every stocked item is a Product.

Create a product

Start with the fields needed to sell and value the item; add operational detail when it is useful.

  1. 1

    Open the product form

Choose Add product from the Products tab and keep the type set to Product.
    Products & InventoryProductsAdd product
  2. 2

    Set identity and pricing

Enter the name, selling price and cost price. A product code (SKU) is filled in for you in the format PRD-0001 (RAW- for raw materials, MAD- for made products, SVC- for services); you can change it. Add a photo, barcode (used by the POS scanner), supplier, category and expiry date where they help your team.
  3. 3

Set starting stock and the minimum stock allowed

Initial stock is what you have on hand today. Minimum stock allowed is the lowest quantity you want to keep: at or below it the product is flagged as needing restocking.
  4. 4

    Review taxes and save

Confirm standard VAT and any named additional taxes before saving. A cost price above the selling price asks you to confirm before saving at a loss.

The displayed VAT rate is a product default, not advice

The form presents a standard VAT option. Confirm the rate and tax treatment that apply to your business before using it.

Set up raw materials

Add each material you use before creating the made products that use it.

  1. 1

    Choose the Raw material type

Open Add product and pick Raw material at the top of the form.
    Products & InventoryProductsAdd productRaw material
  2. 2

    Pick its stock unit

Choose how you count it, such as g, ml or pcs. Quantities, the minimum stock allowed and the cost price are all in this unit.
  3. 3

Enter stock and cost per unit

Enter what you have now and what one unit costs (for example the cost of 1 g). A selling price is optional because raw materials are not sold on their own.

Raw materials stay out of sales screens

Raw materials don't appear in the POS, on invoices as sellable items, or in your online shop. You receive and write them off like any other stock.

Choose a stock unit

The unit decides how a raw material is counted and which units a made product can use for it.

  • Weight: mg, g and kg convert into each other.
  • Volume: ml, cl and l convert into each other.
  • Count: pcs and dozen convert into each other.
  • Any other word (for example sachet or roll) is a custom unit that only matches itself.
  • Pick the smallest unit you measure in, such as g rather than kg, so amounts stay whole numbers.
  • Once a raw material is saved, its unit can only change to another unit in the same group, and its stock and cost are converted for you.

Set up a made product

A made product lists the raw materials one item uses. LaniTech 360 then works out how many you can make and what each one costs.

  1. 1

    Create the made product

Open Add product, pick Made product, then enter its name, selling price, category and taxes. It has no initial stock or cost price of its own.
    Products & InventoryProductsAdd productMade product
  2. 2

    Add its raw materials

Open the product and go to the Raw materials tab. For each material, choose it, enter the amount one item uses and the unit, then select Add.
    ProductsProduct detailRaw materials
  3. 3

Check how many you can make

The Can make figure is the product's stock. It is limited by whichever raw material runs out first, which is highlighted.
  4. 4

    Sell it as usual

Each sale takes the listed amounts out of each raw material's stock, and the cost of those materials becomes the item's cost.

No raw materials means out of stock

Until you add at least one raw material, a made product shows as out of stock. Keep the amounts per item accurate: they drive both your stock levels and your margins.

Organise with categories

Categories group related products in lists, reports and your online shop.

  1. 1

    Create categories

Open the Categories tab and add a category for each group of products you sell.
    Products & InventoryCategoriesAdd category
  2. 2

    Assign products

Choose a category in the product form. Deleting a category keeps its products; they simply become uncategorised.

Create a service

Use a service when you sell work rather than a stock-controlled physical item.

  1. 1

    Switch to Services

Open the Services tab and start a new service record.
    Products & InventoryServicesAdd service
  2. 2

    Define the commercial details

Enter the service name, code, price, currency and description. Mark recurring intent only when it accurately describes the work.
  3. 3

    Describe what is included

Add included task rows so the service is understandable when your team reuses it.
  4. 4

    Confirm tax treatment

Review standard VAT and any named additional taxes, then save the service.

Services share product permissions

The service screens use the product permission keys, so a role that can manage products can also manage services.

Review inventory health

Use the inventory view to move from a broad stock list to the items that need attention.

  • Search by name, SKU or barcode before scanning a long stock list.
  • Use In stock for items with stock on hand.
  • Use Needs restocking for items at or below their minimum stock allowed.
  • Use Expired to isolate items past their expiry date.
  • Stock value can be shown at cost or at selling price; switch it from the Products tab.
  • Gross margin is the share of the selling price left after the average unit cost.

Receive stock or record a write-off

Make stock changes from the product so the quantity, cost and reason stay connected to the right item.

  1. 1

    Open Inventory Management

Select the product, then switch from Product Details to Inventory Management.
    ProductsProduct detailInventory Management
  2. 2

    Receive stock

Enter the quantity and unit cost, and add the supplier when known. Each delivery becomes a cost layer, so items bought at different prices are costed correctly.
  3. 3

    Record a write-off

Choose a reason (Damaged, Expired, Stolen or Other) and a quantity no greater than the stock on hand. The write-off is costed from the oldest or newest cost layers, depending on your costing method, and recorded as an expense.
  4. 4

Check the cost layers and history

Open Cost Layers to see the remaining stock at each purchase cost, and review the inventory history to confirm the movement.

Made products are adjusted through their raw materials

A made product has no stock of its own, so you receive and write off its raw materials instead.

Sell in your online shop

Publish products to your public shop so customers can browse and order them.

  • Turn on In shop for a product to publish it; anyone with the link can see and buy it.
  • Use View or Share to open or send the product's shop link.
  • Set your shop banner and details under Settings → Online shop.
  • Raw materials are never shown in the shop.

Import a catalog or download it

Use CSV import for structured product data and branded downloads for a portable catalog.

Check access and data before acting

Catalog and inventory actions can be hidden or blocked according to your organization role.

  • Create, update and delete only when the corresponding product permission is available.
  • Review currency per item; totals in mixed currencies are not converted.
  • Confirm stock on hand before writing an item off.
  • Treat the configured tax rate as business data that requires independent verification.
